OUR PRIVACY POLICY
The Rainbow Rehoming Centre is a registered animal charity (Charity No. NIC102019) in Eglington, Derry/Londonderry. This policy sets out how the Rainbow Rehoming Centre uses your information to help further our work in caring for stray, abandoned and unwanted dogs and cats.
PRIVACY
The Rainbow Rehoming Centre takes your privacy seriously. We are committed to protecting your personal information and to manage any information you share with us in line with data protection laws. This policy sets out how the Rainbow Rehoming Centre uses the information that you provide us with in order to help further our work in rescuing and rehoming stray, abandoned and unwanted dogs and cats.
WHERE DOES THIS INFORMATION COME FROM?
Most personal data we process is given to us directly by our supporters, customers and volunteers in the course of their interactions with us. We may also receive your personal information when you donate to the Rainbow Rehoming Centre through third-party services such as Just Giving or PayPal.
HOW WE USE YOUR DATA
In simple terms, your personal data may be used to help us effectively deliver our charitable services or to help us raise funds for those charitable services.
1. Adopting a dog or cat
We ask for personal information when members of the public adopt a dog or cat from the Centre. This may include information such as your name, address, telephone number and email address. We think that you and the animal you adopted from us would like to remain in contact with us throughout their lifetime and we will therefore keep your personal information for 20 years (the upper limit lifetime of the dog or cat).
2. Gifting us your dog or cat
If you have contacted us to gift us your dog or cat for adoption, we will use the information you provide us to establish how we can best look after your dog or cat while it is in our care. To assess how we might safely and permanently rehome your dog or cat and to enable us to meet the relevant legal requirements where they apply to dogs or cats brought into our care.
3. Reporting lost or found dogs and cats.
We will ask for details of the person who has lost a dog or cat and also the details of the finder of the dog or cat for the purposes of reuniting owners with their pet.
4. Volunteering
We ask for personal information when recruiting volunteers and foster carers. This information enables us to communicate with volunteers regarding their volunteering work and how they might support us in other ways and as foster carers that you are matched with the most appropriate animal and that we meet any access, health or dietary needs you may have.
5. Marketing and Volunteering
We will always ask for consent to send you our newsletter via email, telling you about various ways that you can support the Rainbow Rehoming Centre, including fundraising, events and campaigning. We use marketing to raise the issue of fundraising income to allow us to be here for every dog and cat that needs our care. To manage, facilitate and record financial transactions associated with fundraising, to manage events and fundraising activities and to ensure that as many supporters as possible maximise the value of their donation through Gift Aid.
6. Legacies
If you have got in touch with us about leaving us a legacy, we will manage and administrate your legacy pledge.
7. Events
When you register to attend or take part in one of our fundraising events we will use your information to process the registration fees (if any), administer your participation in the event and provide you with information about the event.
8. Donations
To process your donation and send you a thank you letter; we may also use your personal information for the recovery of Gift Aid (where you have completed a Gift Aid declaration).
If you have kindly added Gift Aid to your donation to the Rainbow Rehoming Centre we must record the fact that you are a UK taxpayer and we have to maintain a record of the amount of Gift Aid we have claimed. As a legal requirement we keep this financial information for 6 years.
9. Retail Trading
Personal information is required to fulfil orders for Rainbow rehoming Centre calendar.
10. Enquiries
To enable us to record, consider and reply to enquiries.
11. Employment
To enable us to recruit staff and sessional workers.
12. Photograph and Videography
We retain photographs and videography for historical interest and event promotion.
We will never rent, swap or sell your details for marketing purposes. You’re free to change your contact preferences at any time. It is always your choice, you can tell us to change your communication preferences and our use of your information at any time by emailing rainbowrehomingmanager@gmail.com.
DATA RETENTION
We’ll retain personal information for different periods of time depending on your relationship with the Rainbow Rehoming Centre.
For example, if you donate to us, we’ll keep your financial information for up to seven years after your last interaction with us. If you rehome an animal, we’ll keep details relating to your rehoming circumstances for 20 years (the upper limit lifetime of the dog or cat) and If you have kindly added Gift Aid to your donation we keep this financial information for 6 years as a legal requirement.
We will keep some data indefinitely (for example, your name and giving history). It’s important for us to retain this information as a majority of the Rainbow Rehoming Centre’s legacy income comes from people we weren’t aware would leave us a gift in their will. Sometimes this legacy is left decades after the supporter’s last interaction with the Centre. Knowing that the individual was a supporter in the past is important for us to know in case that will is contested.
DATA SHARING
The Rainbow Rehoming Centre will not exchange or sell your personal information to another organisation. However, there are some situations where we may have to share your personal information with other organisations. An example could be sharing your details to reunite you with a lost animal via the local dog pound, or to update microchipping databases.
YOUR DATA PROTECTION RIGHTS
When the Rainbow Rehoming Centre is using your personal information on the basis of your consent, you have the right to withdraw that consent at any time. You also have the right to ask the Rainbow Rehoming Centre to stop using your personal information for direct marketing purposes. Simply email rainbowrehomingmanager@gmail.com.
FILMING AND PHOTOGRAPHY AT EVENTS
The Rainbow Rehoming Centre may film or photograph participants, volunteers and spectators attending or taking part in events and use such footage or photographs. We do this in order to publicise the event. No personal details of any under 16-year-old participants will be used in any publicity materials without the written consent of their parent or legal guardian, but we may use images where children are incidentally included (for example, during our annual Dog Agility Day, Pooches in Park OR Halloween Walk).
NOTIFICATION OF CHANGES TO THIS PRIVACY POLICY
This Privacy Policy may change from time to time. For example, we will continue to update it to reflect new legal requirements.
